Managing your contact list efficiently is essential for staying organized and optimizing your workflow. This guide will walk you through importing/adding contacts, creating and filtering contact lists, customizing views, and performing mass actions to manage your contacts effectively.
1. Importing Contacts
How to Import Contacts (Bulk Import via CSV)
- Navigate to the Contacts section.
- Click on the Import button.
- Upload a CSV file with contact details. Ensure that your file includes necessary fields like First Name, Last Name, Email, and Country.
- Confirm the validity of your list.
- Map the fields from your CSV to the system’s contact fields.
- Assign the advisor who should own these contacts.
- Click Import Contacts and review the results to confirm a successful import.
Single Contact Addition
- Use the Add Contact option for manual entry.
2. Creating Contact Lists & Filters
Custom Contact List Views
You can create custom views to focus on specific contact segments:
- Go to Contacts > List View Controls, click Create New, and set filters like Tags, Activity Points, or Nurture Cycle status.
- Save and access your views anytime.
Filtering Contacts
Use the filter panel to refine your list based on fields like Contact Added Date, Activity Points, or Nurture Cycle status, etc. Based on the field, you will need to select the operator to hone in on your desired contacts.
- The default "All Contacts" view cannot be edited. If you need to modify a list, create a new custom list with filters.
Pinning a Contact List
You can pin a commonly used list for quick access:
- Open the contact view you need and pin it. This will make it the default list when visiting the Contacts page.
3. Customizing Contact Columns
Adjust which columns appear in your contact list to display relevant information:
- Click the gear icon in the contact list view and select Customize Columns.
- Choose the fields you want to show or hide.
- Reorder columns by dragging and dropping them to fit your needs.
4. Mass Actions on Contacts
Perform bulk actions on multiple contacts at once:
- Send Emails – Select multiple contacts and send emails directly.
- Apply Tags – Categorize contacts using tags for easier segmentation.
- Delete Contacts – Remove outdated contacts in bulk.
- Reassign Advisor – Assign a new advisor to selected contacts.
- Activate Nurture Cycle – Subscribe selected contacts to Nurture Cycle email types.
- Update NC Subscription Type – Modify subscription preferences for contacts active in the Nurture Cycle.
- Add to Smart Flow – Enroll selected contacts in an active Smart Flow.

Remove from Smart Flow – Remove selected contacts from a Smart Flow they are currently enrolled in.
5. Segmenting Contacts with Tags
Tags allow you to group contacts based on common characteristics:
- Add tags manually or through bulk actions.
- Filter your contacts using tags for targeted outreach.
- Combine tags with other filters for advanced segmentation.
- Manage tags through Marketing Management.
