There are two options for adding contacts to your portal, you can add contacts individually or import a contact list.
Before importing a larger list, please review these recommendations and steps to ensure that your contact list will successfully import.
- If you intend to activate the Nurture Cycle for your contacts, we recommend that you disable the Welcome Email setting. You can find this in Settings > Nurture Cycle Settings. The best practice for adding new contacts is that they are warm leads, and as discussed during your phase 1 training with your Customer Success Manager, contacts should be warm and expecting to hear from you before being activated on the Nurture Cycle.
- As you will have the option to send your contacts an invitation to complete a Value Builder Score, it is important that you customize the email body text in your settings. You can do this by going to Settings > Value Builder Score Questionnaire Settings.
In addition, you have the ability to choose your Call to Action on Nurture Cycle emails and we suggest that you customize these templates as well. You can find more information about Calls to Action here.
- Ensure that the contact list you are importing is a .csv file with the four required fields under the specific headings:
First name, Last name, Email, Company Name
Your .csv contacts file may have additional headings such as phone number, city, and address, but these are not mandatory.
Note: If you have more than 1000 contacts in your list, we recommend that you create and import contact lists in batches of 1000.
As an email can only be owned by a single advisor at a time, you may find contacts in your list that are already taken. You can request for these contacts to be reviewed by our support team, and reassigned to you if specific criteria is met.
You will need to separate the contacts based on Country and create a separate .csv file for each country. You may edit the country for contacts later on at any time but this would have to be done individually.
Once these actions are completed, you are now ready to import your contact list!
To import a contact list, click on the Contacts tab in the advisor portal.
1. Click on the drop-down menu beside the Add Contact button and select Import Contacts
2. Select the country for the contact list. Drag and drop your .csv file or browse your files to upload.
3. Confirm the validity of your contact list.
4. Select the column label from your uploaded .csv file and choose the advisor who should own these contacts.
5. Once successfully imported, you will have the option to send an invitation to get their Value Builder Score and/or add them to your Nurture Cycle. Note: you can send invitations individually at any time and add to your Nurture Cycle by bulk activating contacts under your Nurture Cycle > Subscription Management.
Contacts can only be owned by one advisor and if the contact email has been found to be with another advisor, you will see an alert. You will need to request a review for these contacts and our support team will investigate if the contact can be reassigned to your portal.
